Co-Reports in action

A short walkthrough from adding case findings to a signed-off report.

Co-Reports in action

Your templates, your findings.

A single standard template is what makes a report read as machine-written. Your reports and documents keep your own structure, wording and style with your findings inserted in your own words.

Your own templates

Bring the formats you already use. Add, remove or reorder anything.

Categorized templates

Keep your hundreds of templates organized for quick and easy production of reports and forms.

Your brand, your clauses

Your letterhead, standard wording and disclaimers on every report.

Any kind of report

If your work ends in a report built from evidence, Co-Reports may interest you.

What it does

Co-Reports is a multilayered system which learns your templates once, then reproduces those templates for you as Word documents filled with relevant case data, photos and findings. A few main features of Co-Reports are:

Learns your templates

Upload a finished report or document in Word. Letterhead, wording, tables and styling stay yours.

Extracts all relevant data from case files

PDFs, scans, e-mails, Word, Excel, photos and voice notes in any order.

Places all relevant data in your template

Everything goes where it should.

Places & indexes your findings, photos & attachments.

Your voice or text findings are slotted where they should go, same for photos.

Your filled templates downloadable

Download your filled reports and documents as word for your review and use.

Co-Reports

About us

We are a group of industry experts who found ourselves spending extensive amounts of our time on things that could be automated. Transposing figures from a bill of lading into a report. Reformatting the same tables. Copying photo sets into annexes. Hours of careful clerical work sitting between our expertise and a finished document.

So we automated it.

What started as an in-house utility grew quickly into the service we offer today. We poured our technical expertise and our industry knowledge into Co-Reports, and the result is a product we are very proud to present: one that respects how this work is actually done, keeps the professional judgement where it belongs, with you, and removes everything that never needed a professional in the first place.

What we believe

Reports are liability documents. Accuracy is not a feature, it is the point. That is why Co-Reports never invents a value, marks every machine-written word for review, and leaves the expert conclusions to the expert.

Co-Reports

Data and confidentiality

Last updated: October 2026.

The short version

Your documents are yours. We process them to produce your reports and for nothing else. They are encrypted while in our care, nobody trains on them, you decide how long they stay, and you can delete them at any time.

What we store, and why

Your workspace holds the case files you upload (documents, photos, voice notes), the text read from them, and the reports produced from them, so that you can re-run, review and download your work. The sample you upload to teach a template is kept encrypted, used only for troubleshooting and for improving the documents Co-Reports outputs for you, and is deleted when you delete the template.

Encryption

Every case file, every produced report, every learned template and every transcript is encrypted at rest. All traffic between you and the service is encrypted in transit.

Retention and deletion

By default, a case stays until someone in your team deletes it. Your team lead can set automatic deletion options, e.g. after a certain number of days since creation or modification. Deleting a case removes the uploaded documents, photos, voice notes and the finished reports together. We delete them from our side as well. Some of the AI models we use may retain data temporarily, as per the section below.

AI processing

Document contents are sent to several AI providers, Anthropic among others, for many of our features. Under their commercial terms, they do not train models on this data. They retain API inputs and outputs for up to 30 days for abuse monitoring, after which they are deleted. Check their terms and conditions.

Payments

Payments are processed by Paddle.com, our Merchant of Record. When your organisation buys credit, Paddle receives the billing details given at checkout (name, e-mail address, billing address and payment method) to take the payment, calculate taxes and handle refunds, under its own privacy notice. We never see or store card details.

Access control

The service sits behind an invitation-only access wall (a one-time code to your e-mail) in addition to per-user accounts. Sessions are secure cookies that page scripts cannot read. Workspaces are strictly separated per organisation; a team lead sees only their own team, and the operator's administrative surfaces are restricted to the account owner. Sign-ins, failed sign-ins, invitations and every change to a membership or a setting are logged with the visitor's address, and your team lead can read your team's log at any time.

Our own housekeeping

Security patches are applied automatically; every uploaded file is checked by an antivirus scanner and hostile document constructs are refused before anything is read.

If something goes wrong

An incident is any event in which your data may have been seen, changed or lost by someone or something that should not have. When we learn of one, the operator is told at once and the affected organizations' team leads are told within 72 hours, with what happened, what data was involved, what we did about it and what we ask of you.

Co-Reports

Terms of service

Last updated: October 2026. These terms govern your organisation's use of Co-Reports. By creating an account or using the service, you accept them on behalf of your organisation.

1. Who we are

Co-Reports is operated by Co-Reports FZC ("Co-Reports", "we", "us"), a company registered in the United Arab Emirates. These terms are an agreement between us and the organisation that opens an account ("you"). The person who accepts them confirms they have authority to bind that organisation.

Co-Reports is a service for businesses and professionals. It is not offered to consumers at this time.

Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides all customer service inquiries and handles returns.

2. The service

Co-Reports reads the documents, photos and voice notes your users upload to a case, and fills the report templates your organisation teaches it. It produces reports, letters, spreadsheets, translations and optional insights from them for your use.

The service is in beta. Features may be added, changed or withdrawn as it develops. We give reasonable notice before we remove a feature your organisation relies on.

We work to keep the service available and secure, but we do not guarantee uninterrupted availability during the beta. We may take it offline briefly for maintenance and updates at our discretion.

Co-Reports may not be available for use in all countries. If your country is not supported, you will land on a page that says so when attempting to access the site. Do not attempt to circumvent this under penalty of account closure and legal action.

3. Accounts and your team

Your organisation's team lead invites members, sets their permissions and sets spending limits. You are responsible for everything done under your organisation's accounts.

  • Keep sign-in details confidential and use one account per person.
  • Give accurate information when you register and keep it current.
  • Tell us at once at [email protected] if you suspect someone has used an account without permission.

4. Your content and how we use it

You own what you upload (documents, photos, voice notes, template samples) and the outputs produced from it. You give us licence to store, copy, process and display that content, and to send it to our service providers, only to provide, secure and support the service for you.

You confirm that you have the right to upload your content, including any personal data and any documents your own clients have entrusted to you.

  • Template samples. The sample you upload to teach a template is kept encrypted for as long as the template exists. It is used only for troubleshooting and for improving the documents Co-Reports outputs for you, and it is deleted when you delete the template.
  • Quality reviews. When a new template is first used, and when you send us a support request, we may review the documents it produced, the text read from your files and the template itself, so that we can correct the template. Reviews are done by our staff and our automated tools under strict confidentiality.
  • No training. We do not use your content to train AI models, and our AI providers do not train on it under their commercial terms.
  • General improvements. What we learn from a review may improve the rules the service applies for every customer. Those rules never contain your content and never reveal it to anyone else.

How long content is kept, and how it is deleted, is described in our Data Policy.

5. AI-generated output

Outputs are produced by curated but automated means, including AI models. They are drafts that support a qualified professional; they do not replace one.

  • Review before you issue. You must review every output before you sign, send, issue or rely on it. All values and statements provided in our output must be checked by you, we do not accept any liability nor responsibility for the data outputted.
  • Insights are not advice. Claim calculations, timelines, notice and time-bar guidance, limits of liability, discrepancy lists, findings reviews, translations as well as any and all future insights Co-Reports provides are simply aids to your own work. They are not legal, insurance or other professional advice. You must review and verify every Insight output against applicable contract and laws before relying on them in any way.
  • Your judgement, your report. You remain solely responsible for every report and document issued in your name and for the professional judgement in it.

6. Acceptable use

You and your users must not:

  • upload content you have no right to share, or content that is unlawful;
  • upload malware or files built to harm the service or other customers;
  • probe, scan or test the security of the service without our written agreement, or try to reach another organisation's data;
  • place instructions in documents meant to manipulate the AI models or to extract information they should not give;
  • copy, decompile or reverse engineer the service;
  • access the service by automated means other than the features we provide;
  • resell, sublicense or share access with another organisation without our written agreement;
  • use the service or its outputs to build a competing product or to train AI models;
  • use the service to create content that is illegal, deceptive, defamatory or infringes anyone's rights, or present AI-generated output as independently verified when it was not;
  • break the usage policies of the AI providers we use.

We may remove content, or suspend access, that breaks these rules.

7. Fees and payment

The service is paid from a prepaid balance your organisation tops up. Unit prices are published on our pricing page, and the cost of each action is shown before you confirm it.

  • When you are charged. Charges are taken from your balance when an output is produced, as the pricing page describes. A run that fails is not charged.
  • Price changes. We may change prices without notice on the pricing page and in the app. A change never applies to work already produced.
  • Your balance. Your balance has no cash value outside the service, cannot be transferred and earns no interest. It does not expire while your account is open. Promotional and beta credits may be withdrawn at any time and are not refundable.
  • Taxes. Paddle calculates and collects any sales tax or VAT that applies to your purchase.
  • Payment terms. Payments are processed by Paddle, our Merchant of Record, and Paddle's buyer terms also apply to your purchase.
  • Refunds. Refunds are described in our Refund Policy.

8. Service providers and data protection

We use carefully chosen providers to run the service: AI model providers, hosting, network security and e-mail. We remain responsible for how we use them.

You control the personal data in your content; we process it on your behalf and only to provide the service. Our Data Policy explains what we store, how it is encrypted, how long it stays and how it is deleted. If an incident affects your data, we tell your team lead within 72 hours.

9. Intellectual property

We own the service: its software, its knowledge packs, its rules and everything we build into it. These terms give you the right to use it while your account is open; they transfer no ownership.

You keep ownership of your content, your templates and your outputs. If you send us suggestions or feedback, we may use them freely to improve the service, without any obligation to you.

10. Suspension and termination

Your team lead may close your organisation's account at any time.

We may suspend or close an account if it breaks these terms, puts the service or other customers at risk, or if the law requires it. Where we can, we warn you first and give you a chance to put things right.

When an account closes, access ends. Your team lead has 30 days to download outputs, after which your content is deleted as our Data Policy describes. Any unused paid balance is handled under our Refund Policy.

11. Disclaimers, liability and indemnity

The service is provided "as is" and "as available", and it is in beta. We do not promise that outputs will be complete, accurate or fit for any particular purpose; that is why every output must be reviewed (section 5).

To the fullest extent the law allows:

  • we are not liable for indirect or consequential losses, or for lost profits, business, goodwill or data;
  • we are not liable for losses that come from relying on an output without review, from a missed time bar or limit, or from the outcome of a claim;
  • our total liability in any event for anything for all claims in any 12-month period is limited to the fees you paid us in the 12 months before the event that gave rise to the claim.

Nothing in these terms limits liability that the law does not allow to be limited.

You agree to indemnify and hold us harmless against claims by third parties that arise from your content, from reports you issue, or from your use of the service in breach of these terms.

12. Changes, law and general terms

  • Changes to these terms. We may update these terms at any time during Beta. After release of Co-Reports, we give at least 30 days' notice of a material change by e-mail to your team lead and on this page. If you do not accept a change, you may close your account before it takes effect and ask for a refund of your unused paid balance.
  • Governing law. These terms are governed by the laws of the United Arab Emirates. Both sides will first try to settle a dispute in good faith for 30 days; after that, the courts of the United Arab Emirates have jurisdiction.
  • Entire agreement. These terms, our Data Policy, our Refund Policy and our pricing page are the whole agreement between us about the service.
  • Other terms. Neither side is liable for delays caused by events beyond its reasonable control. You may not transfer this agreement without our consent; we may transfer it to a successor of our business. If one clause is found invalid, the rest stays in force. Not enforcing a right is not a waiver of it.
  • Language. These terms may be offered in several languages; the English version prevails.
  • Contact. [email protected]

Co-Reports

Refund policy

Last updated: October 2026.

Unused paid balance can be refunded within 30 days of the top-up, and anything we charged in error is always put right. Paddle.com is the Merchant of Record for all our orders and processes every refund.

How you pay

Your organisation pays in advance by topping up a prepaid balance. Each output is charged to that balance when it is produced, at the prices shown on our pricing page and confirmed before you produce it.

Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders, so every refund is paid by Paddle to the card or account you paid with.

Your 30-day refund

Within 30 days of any top-up, you can ask for a refund of the part of that top-up you have not used. You do not need to give a reason.

The part already spent on produced outputs is not refunded, because that work has been delivered. Your balance is spent oldest top-up first.

When we got it wrong

Whatever the date of the top-up, we put right any charge that was our fault:

  • a run that fails is not charged in the first place;
  • if you were charged for an output our service did not deliver, or delivered broken because of a fault on our side, we return the charge to your balance or refund it;
  • a duplicate charge, or a charge higher than the price shown before you produced, is refunded in full.

Tell us within 30 days of the charge, with the case name or the date, and we will check it.

Closing your account

If your team lead closes your organisation's account, the unused paid balance is refunded on request, whatever the date of the top-up.

The following are not refunded:

  • balance already spent on produced outputs, except as described above;
  • promotional, trial and beta credits, which have no cash value;
  • a top-up refunded through a card chargeback while we were handling the request.

How to ask

E-mail [email protected] from your organisation's team lead account, or contact Paddle directly at paddle.net. Refunds are paid by Paddle to the original payment method, usually within 5 to 10 business days after approval.

We may refuse requests that abuse this policy, such as repeated top-ups and refunds. Nothing in this policy removes rights you have under the law that applies to your purchase.
